Inviting your team and roles
How to bring someone in, what Editor and Viewer can do, how many seats your plan has and why you take up one of them yourself.
You can bring other people into your account so they can work on your projects. That happens under Team in the dashboard.
One thing to understand up front: access is account-wide, not per project. Whoever you invite sees all of your projects. There is no way to share a single project.
The three roles
| Role | Can |
|---|---|
| Owner | everything, plus billing, team management and deleting projects |
| Editor | edit projects and tickets, start tickets, comment, store credentials |
| Viewer | see everything, change nothing |
You are the Owner. The role is tied to your account and cannot be transferred. Billing, team management, buying seats and deleting a project stay with the Owner. An Editor cannot delete a project either.
You can also be a member of someone else's team, if they invited you. That shows up under Team as well: below your own team there is one card per team you belong to, with the owner's name, your role there and who else is in it. You cannot manage anything there, that stays with the respective owner. Being a member of several teams is possible, one invitation per owner.
Editors being allowed to store credentials is intentional: whoever builds the project needs the keys for it. Nobody can read them back anyway, not even you. They are stored encrypted and only decrypted at deployment time. The interface only ever shows you the name of the variable.
One important point about Editor: when an Editor starts a ticket, the credits come out of your balance. There is no per-member allowance. So only invite people you trust with that.
You can change a role at any time under Team, including after the invitation has been accepted.
Inviting someone
- Go to Team in the dashboard.
- Enter the email address and pick a role.
- Submit. The person receives an email with an invitation link.
- They create an AdenAI account with exactly that email address and open the link.
Step 4 is where it usually goes wrong: the link checks the address. Anyone who signs up with a different email gets an error when clicking it. Just send the invitation again for the correct address.
An open invitation is listed under Team as pending. You can withdraw it there.
Invitation emails are not arriving at the moment
Our mail sending is still waiting for approval from the provider, so invitation emails currently do not reach external addresses.
This is not a blocker: the invitation link is shown under Team, right next to the pending invitation. Copy it there and pass it on yourself - by message, email, or however suits you. The link works just the same.
How many seats do I have?
| Plan | Members included | Additional |
|---|---|---|
| Trial | 1 (just you) | none |
| Dev | 1 (just you) | 19 EUR/mo per seat |
| Pro | 3 | 19 EUR/mo per seat |
| Team | 10 | 19 EUR/mo per seat |
You take up one of these seats yourself. That is the number that counts, not the number of people you invited. A plan with one seat included therefore means: you, nobody else. Anyone on the Dev plan who wants to bring someone in needs an extra seat or a bigger plan. Pro with three seats means you and two others. Team with ten seats: you and nine others.
How many seats are taken shows up under Team, above the invitation form, as a line like "2 of 3 seats taken". You are counted there too. Pending invitations already take up a seat while inviting, so that you cannot send out more invitations than you have seats.
When no seat is free
While inviting, the page tells you right away and names the way out: buy a seat, remove someone, or move to a bigger plan.
There is a second moment where this is checked: when someone accepts the invitation. Between sending it and the click you may have changed your plan. If the invitation no longer fits, the invited person does not get an error, but a note that no seat is free right now. The invitation stays valid. As soon as a seat frees up or you buy one, the same link works again.
So that you find out about it, your team page shows a note when pending invitations currently have no seat to land on.
Buying extra seats
Buying an extra seat is built and runs through Stripe. Whether it is ready in your account shows up under Team, in the "buy a seat" card:
- If there is a buy button with the price, you can book the seat right away. It is usable immediately after payment.
- If it instead says that the purchase is not set up yet, talk to support. We will release the seat by hand. The price above still applies.
- The Trial plan gets no extra seats. From Dev on you can buy them.
The same purchase is also available under Billing, with the add-ons.
Who wrote how much
From the team page a link leads to the team report. It shows one row per person: how many tickets they wrote, how many of those are done, failed and open, and how many credits that cost. Anyone who wrote nothing is listed with a zero instead of not at all.
Two things worth knowing:
- Archived tickets are not counted. The report answers what is currently sitting with whom. Whatever an archived ticket used was still charged. What your account used in total is in your balance, see Credits.
- The report belongs to you as the Owner. A member does not see it, only their own numbers, and those on the team page next to your team's card. There is no comparison with anyone else and no team total for members.
Whoever left the team keeps their row. Their work does not disappear because they left. Tickets whose author was not recorded get their own row at the bottom.
Removing someone
Click Remove under Team. Access ends immediately. Whatever that person created, tickets, comments, code, stays and continues to belong to your account.
